Signing contract

Step 1 Confirmation by email

When the response deadline has expired, a candidate will be selected using automated draw. You will receive a confirmation by email within a few working days if (and only when) you've been selected via the draw.

Step 2 Introduction and accepting your studio

We will notify you if you've been selected by the automated draw. You're required to plan an introductory meeting within 48 hours after receiving the message. During this period, you need to upload your proof of enrollment, and you can review your contract and floor plan in the service portal.

The introductory meeting takes place on-site, via FaceTime, or by phone with the duty manager and takes approximately 30 minutes.

During the introductory meeting...

  • we check for proof of enrollment at an educational institution;
  • we explain what we expect from residents and what you can expect from us;
  • you can view the complex and its facilities;
  • you have time to ask questions.

After the introductory meeting you have 24 hours to accept or decline the studio online. If you don't take any action within 24 hours, your reservation will automatically be canceled.

Step 3 Signing the contract digitally

You can sign the contract digitally via your service portal, after which you can make your first payment. Then, you can plan the check-in to get the keys to your brand-new home!

The first payment consists of:

  • The rent for the remaining days of the month in which the lease commences. Does the contract start at the end of the month? Then, the rent for the next month is also included in the first payment;
  • The deposit of € 800 or € 1100, depending on your studio type.

Step 4 Planning your check-in

All that's left to do is check in! After completing your first payment, you can schedule your own check-in appointment via the service portal.

You're welcome between Monday and Friday, from the first day of your contract. The duty manager will welcome you at the reception, walk you to and through your studio, and hand over the keys to your studio. Please bring your identification documents (Passport/ID/driver's license) to the check-in. 

Do you want to check in later than the contract's start date? No problem! You can schedule your check-in appointment for a date that works best for you. Please note that you are still responsible for the rent from the start date mentioned in your contract.

Upon first entering your studio, check if everything is in order. If you have any questions or remarks, the duty manager will be happy to answer them. 

Now, let the best time of your life begin! 

Terminating contract

Step 1 Terminating your contract

You may terminate your contract on any day of the month. The notice period is at least 1 month.
 
You can terminate your contract in the service portal. 

Step 2 Offering items for purchase

If you want to offer your items for purchase to the new tenant, you can indicate this when terminating your contract. Your contact details will be shared with them, and if they're interested, they can contact you. Alternatively, you can sell your items via the WhatsApp group of your location.

Important:

  • Please check if your contact details are still up to date in your service portal. Double check your phone number and if the land code is correctly applied. If the details are incorrect, the new tenant will not be able to contact you.
  • Any arrangements are made among the students themselves; we don't play a part in the transfer of items.

Step 3 Pre-inspection and final inspection

Upon termination, you schedule a pre-inspection and a final inspection in the service portal. The pre-inspection takes place 2 weeks before your departure. The final inspection takes place on the last day of your contract, after which you hand in your keys.

During these inspections, the duty manager will check if everything is in order so the next tenant can move in smoothly. For more information about the pre- and final inspection, click on ‘Leaving the studio’ at the top of this page.

Step 4 The final bill and deposit

You have paid a deposit for your studio. Before you get it back, we will settle any outstanding costs, such as payment arrears or costs for repairs in the studio.

If you pay your rent via direct debit, we will refund (the remainder of) the deposit one month after the end of the contract. We will also stop the direct debit.

If you don't pay your rent via direct debit, make sure to send us your bank details a month before you leave so we can refund (the remainder of) the deposit one month after the end of the contract.

Important: 

  • It's your responsibility to terminate contracts with external companies yourself.
  • You will also need to report your change of address to the municipality, or deregister from the municipality if you're moving abroad.

Step 5 Settlement of service costs

In most cases, you'll receive a settlement of the service costs. Your individual service costs are calculated and settled within 6 months after the end of each year, so they can't be included in your final bill. You will receive this via email in the following year.

Delivering studio

Step 1 Terminated your contract

Upon termination we schedule a pre-inspection and final inspection. The pre-inspection takes place 2 weeks before your departure and the final inspection on the end date of your contract.

What can you do in the meantime? 

  • Conduct a thorough cleaningThis way, you won't have to do all of it at the very end, and our duty manager can better provide you with tips for what to do for your final inspection.  
  • Download the checklist for delivering your studio. With this list, you can easily see (or even check off) all the things that need to be done before you leave.

Step 2 Pre-inspection

During the pre-inspection, our duty manager checks the studio. Your studio does not need to be empty for this.  

We check the condition of the paintwork and identify areas that need extra attention during cleaning. Additionally, we check if everything in the studio, from sockets to door handles and frames, is in good condition. If we identify any issues, we will let you know so you can fix them yourself. If you need us to fix it for you, we will let you know the costs.  

Pay close attention to the duty manager's comments and make notes. Solving any issues before the final inspection can save a lot of money. Painting or repairing something yourself is a lot cheaper than outsourcing, after all!

Step 3 Emptying the studio

Please take all your personal items and belongings with you, leaving the studio in the same condition as it was delivered to you.

It's not allowed to leave items behind which are not part of the studios furnishment. 

Are there items you don't want anymore? You can post a message in the WhatsApp group. That way, you can make a neighbor happy and earn some money!

Step 4 Final inspection

The moment is here: you are leaving usBefore you hand in your keys, we conduct a final inspection of your studio together. We will check whether the studio has been returned to its original conditionso the next tenant can move in smoothly 

If you've followed our checklist for delivering your studio, chances are that we'll get through this final inspection quickly 

If there are still unresolved issues at this point, it means Student Experience will need to handle them, and we will charge you for this. Spending that money on your new home or other fun things is a lot nicer, right? So, make sure you fix everything to the last detail.  

As your last act, you hand in your keys and it's time to leave your Student Experience adventure behind.

  • Internet and television

    Internet

    Your studio is equipped with a fully managed internet service, so you don't need to worry about bringing your own equipment. We encourage you to use the wireless router provided to ensure the best service and to avoid causing any problems and interference with your neighbors' connection. Setting up your internet connection is easy! Just follow these steps:

    Step 4 (optional): Add additional devices

    Television

    Television stations and streaming platforms aren’t included in your studio, but you can easily set up the ones you like to watch via the WiFi router. You can do this by subscribing to digital television or streaming services or by getting a streaming media adapter such as Chromecast. A coax cable isn’t necessary for setting up your TV.

  • Parcel delivery

    Did you order something online? Make sure that you're at home when this is delivered. The Duty manager is not responsible for accepting your parcels, nor can they sign for them.

    Are you not going to be at home? You can also have your package delivered to the MyPup Pick-Up Point in the building. With MyPup, you can securely receive packages. Follow these steps to set up your account.

  • House sitting

    It is possible to let someone else stay in your studio temporarily. If you are going to study abroad for a period of time, for example, someone else can occupy your studio for a maximum of six months.

    Subletting is not permitted. However, it is possible to apply for house sitting, formally called residence stewardship. One of the things that is different about this is that we meet the person occupying your studio for that time. That way, we all make sure we are on the same page about living at Student Experience. You'd want us to do the same for your neighbor's studio, right?

    House sitting must always be requested before the house sitting period begins. If you fail to do so, then subletting occurs. More information about applying for house sitting can be found in your service portal.

    Are you looking to share a studio (people living together) at Student Experience? Unfortunately, this is not possible.

  • Transferring your studio to someone else

    Are you moving out permanently? Then it is unfortunately not possible to 'transfer' your studio to someone else. In order to give every student a fair chance at a studio at Student Experience, the studio is listed on the website when you leave. Of course, you can point your friends to the selection on the website.

  • Reserving the private dining room

    The building has a private dining room. It can be reserved via the reception. The space can be used during the week until 21:45 and on Friday and Saturday until 23:45.

  • Washing in the laundromat

    You can use the laundromat for a fee by installing appWash by Miele on your phone. Payments can be made using a debit or a credit card. Costs for washing and drying are 3 euros. To make sure there is enough space for everyone to use the washing and drying machines, please note that:

    • You use one washing or drying machine at a time.
    •  You get your laundry out of the machines as soon as it's ready. Tip: set your alarm!
    •  You don't leave any bags or baskets behind in the laundromat.

    By thinking of your neighbors, you will receive good karma points and probably make some friends too. ;)

  • TULU smart rental unit

    At the TULU smart rental unit, you can rent handy items such as a vacuum cleaner, game consoles, board games, and more! The contents of the TULU units vary per location, so go and check it out and find out which amazing items you can rent at your location! Download the TULU app to start.  

  • Waste and bulky waste

    Waste

    Let's clean things up nicely. Maybe you can make someone else happy with the stuff or clothing you don't use. That way, you are being sustainable.

    You can deposit your waste in underground (press) containers around the buildings. To keep the city as clean as possible, please deposit your waste in the designated container: residual waste, cardboard/paper, or glass. Plastic bottles and metal cans can be returned to the supermarket. Would you like to receive tips on how to separate your waste correctly? Or do you have bulky waste? Please contact the front desk. We are happy to help.

    That's it! Now, there's enough space for the garbage of your neighbors, too! :)

    Bulky waste

    Bulky waste includes large items that don’t fit in the container, such as electrical goods, appliances, and furniture. Please note: large cardboard boxes belong in the container market ‘papier’ or can be disposed of at a Waste Collection Point (’Afvalpunt’) free of charge. You can make an appointment free of charge online or call 14 071. After making an appointment, your bulky waste will be picked up between scheduled hours. Make sure you leave your bulky waste at the side of the road to avoid inconvenience. You can also bring your items to the Municipal Recycling Facility, which is located at J.C. De Rijpstraat 11.     Beware! If you don’t follow the rules, you risk a fine from the municipality of at least €99,-. Please dispose of your waste in the right container and place bulky waste outside as mentioned above."

  • Payment details

    For international payments, you may need additional information. You can use the following bank information.

    Any bank fees are to be borne by the student. Bank fees that are charged to Student Experience will be deducted from the rental payment.

    Please note that our system requires at least one working day to process your online payment and update your payment overview. International payments may take up to 3 working days to process. For credit card payments, the duration varies depending on the customer's bank and may take up to two weeks before we receive the amount. Therefore, please ensure that credit card payments are completed at least two weeks in advance.

  • Direct debit

    When you sign your contract, you have to pay the first invoice yourself. For future payments (after the first month), you can authorize us to automatically debit the rent from your account monthly. This way, you don't have to worry about payments, and you always pay on time.

    The amount is automatically debited from your specified bank account around the 26th of the month. You can also have someone else pay your rent (for example, your parents). It's important that there's enough money in the account at the time of debiting.

  • Bank transfer

    You can manually transfer your monthly payment via your bank, so you can determine the date of the transfer yourself. Just make sure we have received the amount before the first of the month.

  • Payment order

    You can set up a monthly payment order or periodic transfer and determine the date of the transfer yourself. Just make sure we have received the amount before the first of the month.

  • Backlog

    Your rent should be received in our account before the 1st of the month. If this is not the case, a payment backlog occurs and we will send a reminder. If you fail to pay within 14 days, collection costs will be charged.

    To avoid this, make sure to pay on time to prevent unnecessary costs.

  • Payment plan

    Payment arrears can quickly add up, so it's important to find a solution quickly. In exceptional cases we can arrange a payment plan for this. This way you pay off your debt in installments.

    The most important rules are:

    • A payment plan can be arranged no more than once every 12 months. We calculate this from the end date of the last payment plan.
    • The backlog may not increase any further, the monthly rent must be paid on time just like the amount of the payment plan.
    • Do you not comply with the arrangements made in the payment plan? Then the arrangement will be terminated and the bailiff will be engaged.
  • Debt assistance

    The municipality of Leiden can help you if you have debts you can no longer overcome by yourself. Check their website to find out if you're eligible.

  • Landlord statement

    A landlord statement provides information regarding living and payment behavior in the last two years. A landlord statement can only be provided if you stay with Student Experience for more than 1 year and meet the following criteria:

    • No payment arrears at this time or in the past year;
    • No payment plan at this time or in the past year;
    • No record with the bailiff at this time or in the past year;
    • No social notifications at this time or in the past year.

Repairs, disturbances and complaints

  • Request a repair

    If there's something in your studio or a communal area that requires repair, please submit a repair request. You can schedule an appointment with the duty manager or authorize us to fix the issue even if you're not at home.

    For emergencies, please call the duty manager directly. You can find their number in your service portal.

  • Disturbance

    Are your neighbors causing disturbance with loud music or household waste? This is how you get it sorted!

    1. Talk
    It's important first to discuss the issue with your neighbors. They may not even be aware of the disturbance they're causing. Stay calm and friendly and be understanding of each other's situation. If this doesn't help, you can proceed to step 2.

    2. Report a disturbance
    If a conversation did not help solve the situation, you can report the disturbance to us. We will look at a fitting solution.

  • Complaint

    Do you have a complaint? Report it so that you can live carefree again. We will pick up your complaint as soon as possible. 

    If it's an immediate complaint, for example about noise, you can file your complaint (anonymously) to the duty manager or security guard. Unfortunately, we're not able to respond quickly enough to complaints via email (especially during the weekend) to resolve the situation immediately.
