Signing contract

Step 1 Confirmation by email

After selecting your studio, you’ll receive a confirmation email. Within one week, we’ll prepare your contract, and you will receive another email inviting you to access your resident page on the service portal by setting up a new password.

Once your account is set up, you are all ready to go! In your service portal, you can:

  • Upload your proof of enrollment at an educational institution;
  • Watch the introductory video;
  • Find the floorplan of your studio;
  • Read through the contract.

Step 2 Signing the contract digitally

After receiving your contract, you have 3 days to accept or decline the studio online. If you don't take any action within 3 days, your reservation will automatically be canceled.

Digitally signing the contract can be done in the service portal. By accepting the studio, you agree to make the first payment. Keep this in mind when you sign the contract.

The first payment consists of:

  • The price for the remaining days of the month in which the agreement commences. Does the contract start at the end of the month? Then the payment for the next month is also included;
  • The administration costs of € 50;
  • The deposit of € 1750.

Step 3 Planning your check-in

All that's left to do is check in! After completing your first payment, you can schedule your own check-in appointment via the service portal. You're welcome 7 days a week from 2 PM - 7 PM. The duty manager or receptionist will welcome you at reception to hand over the key card to your studio. Please bring your identification documents (Passport/ID/driver's license) to the check-in.

Do you want to check in later than the contract's start date? No problem! You can schedule your check-in appointment for a date that works best for you. Please note that you are still responsible for the rent from the start date that’s mentioned in your contract.

Upon first entering your studio, check if everything is in order. If you have any questions or remarks, the duty manager will be happy to answer them.

Now, let the best time of your life begin!

Terminating contract

Step 1 Contract termination

Unfortunately it's not possible to end a contract with a fixed end date earlier than the date agreed upon in the contract.

Delivering studio

Step 1 Cleaning the studio

Before your leave, you'll need to make sure the studio is clean and tidy. If this is not the case and the studio needs to be cleaned professionally, you'll be charged a cleaning fee or part of your deposit will be withheld.

Repairs
If something in your studio is broken, you will need to submit a repair request before you leave so the duty manager can fix it before your departure.

Step 2 Emptying the studio

Please take all your personal items and belongings with you, leaving the studio in the same condition as it was delivered to you.

You must take the kitchen, bathroom, and linen package with you. The linen package includes towels, guest towels, wash cloths, comforter + cover, and pillow + pillow cases.

Don't want to keep any of this? You can donate your linen package in a textile container at the Spaarndammerstraat 145, other items in the designated container in the recycling room, or make an appointment for picking up bulky waste. Not sure how? Read all about it here

The decorative pillows are part of the studios furnishment and should be left in the studio. 

Step 3 Check-out

The latest check out time is 11 AM on the end date of your contract. Of course, you can check out earlier than the last date, but this does not affect the monthly costs.

You have to hand in the keys of the studio at the reception, so that the duty manager knows that you have checked out.

Step 4 Deregistration from the municipality

After leaving your studio at Amsterdam Minervahaven, you will need to deregister from the municipality or change your address. Follow the information below that applies to you.

  • I'm moving within Amsterdam. Report your relocation here.
  • I'm moving to another municipality in the Netherlands. Register with your new municipality.
  • I'm moving to a different country. Deregister from the municipality here.

Step 5 Deposit

You have paid a deposit for your studio. Before you get it back, we will settle any outstanding costs, such as payment arrears or costs for repairs in the studio.

If you pay your rent via direct debit, we will refund (the remainder of) the deposit one month after the end of the contract. We will also stop the direct debit.

If you don't pay your rent via direct debit, make sure to send us your bank details a month before you leave so we can refund (the remainder of) the deposit one month after the end of the contract.

  • Medical services Amsterdam Minervahaven

    General practitioner

    Students at Student Experience Amsterdam Minervahaven are welcome for medical care at Medisch Kwartier. The practice is open Monday to Friday from 8 AM to 5 PM, and on Wednesday evening until 8 PM (only by appointment). You can make an appointment by phone or through your patient portal.  

    If you have Dutch healthcare insurance or an EU Health Insurance Card (EHIC), the costs of your visit are paid for by your health insurer. Students with other types of insurance will first have to pay the bill themselves and can then submit it to their own health insurance company. Please check your own health care insurance policy.

    Dentist

    Dental Center is located in the Houthavens. Their opening hours are Monday to Friday from 8:30 AM and 5 PM and Saturday from 9 AM to 3 PM.

    An appointment is required for checks and treatments. Please note that if you do not have dental insurance, you must pay the costs of the first visit at the counter. Before your first visit, you must have your dental details and photos taken by your previous dentist sent in advance (preferably by email).

  • Smoke alarm

    Everyone enjoys their well-deserved sleep, and a fire alarm is not the best way to wake up. Therefore, think of your neighbors if you are cooking or producing other types of smoke that are not allowed. Should you smoke, this is only allowed in the smoking area of the garden. Save yourself from setting off the alarm and getting a fine.

  • Internet and television

    Your studio is equipped with a TV. A channel list has been compiled by Student Experience. A modem is also placed in the studio. You can access the internet in the studio directly using the start-up information from the ITT desk that we provide at check-in.

    Step 1: Activate internet connection
    To activate your internet connection, go to www.ittdesk.nl/en/studentexperience.
    Fill out your personal information here. On the registration page, under customer number, enter 14999999999 (so 14 and 10x 9).

    Step 2: Happy Googling!
    You can now access the world wide web!
    Do you have connectivity issues? First, reboot your router, then your PC/Mac. For other internet or television issues or questions, you can contact the ITT helpdesk via www.ittdesk.nl/en/studentexperience, call 085 - 014 04 25 during office hours, or fill out the form on the website.

     

  • Mail and parcels

    Mail
    You can collect your mail at the reception during these times:

    Monday: 7:30 PM - 9 PM
    Thursday: 9 AM - 5 PM
    Wednesday: 9 AM - 5 PM
    Thursday: 9 AM - 5 PM
    Friday: 9 AM - 5 PM
    Sat & Sun: 7:30 PM - 9 PM

    Parcels
    Did you order something online? Make sure that you're at home when this is delivered. The receptionist or Duty manager is not responsible for accepting your parcels, nor can they sign for them. Are you not going to be at home? Then, have the parcel delivered to a Pick-Up point in the area, such as Primera or Albert Heijn.

    You can also have your package delivered to the BringMe Box in the building. With the Bringme Box, you can securely receive packages. You operate the box using the Bringme App. If you use Bringme, please enter your address like this.

    Did you receive a tracking code that your package was delivered at Student Experience Amsterdam Minervahaven, but you have yet to see a parcel? Then go to reception; they may be able to help you out.

  • Washing in the laundromat

    You have received a laundry bag from us that you can use when you do your laundry at our laundromat. You can use the laundromat for a fee. Payments can be made using a debit and credit card. Costs for washing and drying are 3 euros. To make sure there is enough space for everyone to use the washing and drying machines, please note that:

    • You use one washing or drying machine at a time.
    • You get your laundry out of the machines as soon as it's ready. Tip: set your alarm!
    • You don't leave any bags or baskets behind in the laundromat.

    By thinking of your neighbors, you will receive good karma points and probably make some friends too. ;) 

  • Reserving the private dining room

    The building has a private dining room. It can be reserved via the reception. The space can be used during the week until 21:45 and on Friday and Saturday until 23:45.

  • TULU smart rental unit

    At the TULU smart rental unit, you can rent handy items such as a vacuum cleaner, game consoles, board games, and more! The contents of the TULU units vary per location, so go and check it out and find out which amazing items you can rent at your location! Download the TULU app to start.  

  • Bikes and e-bikes

    In the parking garage at Amsterdam Minervahaven, you'll find shared bikes and e-bikes that you can rent for a fee through the TULU app. Download the app, read everything you need to know here, and start riding.

  • Parking garage

    The complex has an underground parking garage. The entrance to the parking garage is located on Archangelkade. Together with ParkBee, we ensure the parking rates are always lower than the parking rates on the street. Use the ParkBee app to open the parking garage.

    The ParkBee app offers the option to pay per hour, per day or per month. Download the ParkBee app and follow the steps for more information about parking at Student Experience Amsterdam Minervahaven.

  • Waste and bulky waste

    Disposing of your waste in the Recycling Room

    Let's clean things up nicely. Maybe you can make someone else happy with the stuff or clothing you don't use. That way, you are being sustainable. This is how you get rid of the waste after you've cleaned up. You can deposit the waste you have left in the Recycling Room in the bicycle shed on the ground floor. We have press containers. Not sure how to use those? Here's how:
    Step 1: Throw your garbage in the press container. Note: No cardboard or glass; the press container gets clogged as a result.
    Step 2: Press the green button (not the one with the green light) on the left side (rear end) of the press container. Now, the container is going to press your waste.
    That's it! Now, there's enough space for the garbage of your neighbors, too! :)

    Bulky waste

    Bulky waste includes large items that don't fit in the container, such as electrical goods, appliances, and furniture. Please note: large cardboard boxes belong in the container marked 'papier' or can be disposed of at a Waste Collection Point ('Afvalpunt') free of charge.
    Call 14 020 to make an appointment free of charge or bring your items to a Waste Collection Point ('Afvalpunt'): The Waste Collection Point for your neighborhood is Toetsenbordweg 41. For more information, see amsterdam.nl/waste.

    Beware! If you don't follow the rules, you risk a fine of the municipality of at least €100,-. You can save a lot of money by disposing your waste in the container and placing bulky waste outside at the right moment.

Paying for your stay

  • Payment details
    Always state your name, address, and customer number (KLxxxxxxxx) with the transfer. You can find your customer number in the service portal.

    International payments
    For international payments, you may need additional information. You can use the following bank information.

    Any bank fees are to be borne by the student. Bank fees that are charged to Student Experience will be deducted from the rental payment.

    Please note that our system requires at least one working day to process your online payment and update your payment overview. International payments may take up to 3 working days to process. For credit card payments, the duration varies depending on the customer's bank and may take up to two weeks before we receive the amount. Therefore, please ensure that credit card payments are completed at least two weeks in advance.
  • Direct debit

    When you sign your contract, you have to pay the first invoice yourself. For future payments (after the first month), you can authorize us to automatically debit the rent from your account monthly. This way, you don't have to worry about payments, and you always pay on time.

    The amount is automatically debited from your specified bank account around the 26th of the month. You can also have someone else pay your rent (for example, your parents). It's important that there's enough money in the account at the time of debiting.

  • Bank transfer

    You can manually transfer your monthly payment via your bank, so you can determine the date of the transfer yourself. Just make sure we have received the amount before the first of the month.

    Find the bank details of your complex under 'Payment details'.

    Always state your name, address, and customer number (KLxxxxxxxx) with the transfer. You can find your personal number in the service portal. Any bank fees are to be borne by the student. Bank fees that are charged to Student Experience will be deducted from the rental payment.

  • Payment order

    You can set up a monthly payment order or periodic transfer and determine the date of the transfer yourself. Just make sure we have received the amount before the first of the month.

    Find the bank details of your complex under 'Payment details'.

    Always state your name, address, and customer number (KLxxxxxxxx) with the transfer. You can find your personal number in the service portal. 

    Important: our system requires at least one working day to process your payment and update your payment overview. International payments may take up to 3 working days to process. For credit card payments, the duration varies depending on the customer's bank and may take up to two weeks before we receive the amount. Please complete your credit card payments at least two weeks in advance.

  • Online payment

    You have the option to manually transfer your monthly payment via online payment through the service portal.

    You can make your online payment via iDeal (for Dutch bank accounts) or by credit card.

    Important: our system requires at least one working day to process your online payment and update your payment overview. International payments may take up to 3 working days to process. For credit card payments, the duration varies depending on the customer's bank and may take up to two weeks before we receive the amount. Please complete your credit card payments at least two weeks in advance.

  • Backlog

    Your rent should be received in our account before the 1st of the month. If this is not the case, a payment backlog occurs and we will send a reminder. If you fail to pay within 14 days, collection costs will be charged.

    To avoid this, make sure to pay on time to prevent unnecessary costs.

    Important: our system requires at least one working day to process your payment and update your payment overview. International payments may take up to 3 working days to process. For credit card payments, the duration varies depending on the customer's bank and may take up to two weeks before we receive the amount. Please complete your credit card payments at least two weeks in advance.

    You can settle your payment arrears through the service portal.

  • Payment plan

    Payment arrears can quickly add up, so it's important to find a solution quickly. In exceptional cases we can arrange a payment plan for this. This way you pay off your debt in installments.

    The most important rules are:

    • A payment plan can be arranged no more than once every 12 months. We calculate this from the end date of the last payment plan.
    • The backlog may not increase any further, the monthly rent must be paid on time just like the amount of the payment plan.
    • Do you not comply with the arrangements made in the payment plan? Then the arrangement will be terminated and the bailiff will be engaged.
  • Debt assistance

    The municipality of Amsterdam can help you if you have debts you can no longer overcome by yourself. Check their website to find out if you're eligible.

  • Landlord statement

    A landlord statement provides information regarding living and payment behavior in the last two years. A landlord statement can only be provided if you stay with Student Experience for more than 1 year and meet the following criteria:

    • No payment arrears at this time or in the past year;
    • No payment plan at this time or in the past year;
    • No record with the bailiff at this time or in the past year;
    • No social notifications at this time or in the past year.

  • Registration at the municipality

    The municipality of Amsterdam will charge tourist tax if you don't register at the address of Student Experience Amsterdam Minervahaven. At the beginning of the year, there are special registration days where you can visit the municipality without an appointment, which you can find here.

    The address of Minervahaven is Moermanskkade 71A, 1013 BC Amsterdam. Bring your printed contract, ID card, or passport and your student card or proof of registration.

    After receiving your confirmation letter or email from the municipality of Amsterdam, please forward it to info@studentexperience.com. To protect your privacy, don't share your BSN (Dutch citizen service number) with us.

Repairs, disturbances and complaints

  • Request a repair

    If there's something in your studio or a communal area that requires repair, please submit a repair request. You can schedule an appointment with the duty manager or authorize us to fix the issue even if you're not at home.

    For emergencies, please call the duty manager directly. You can find their number in your service portal.

  • Disturbance

    Are your neighbors causing disturbance with loud music or household waste? This is how you get it sorted!

    1. Talk
    It's important first to discuss the issue with your neighbors. They may not even be aware of the disturbance they're causing. Stay calm and friendly and be understanding of each other's situation. If this doesn't help, you can proceed to step 2.

    2. Report a disturbance
    If a conversation did not help solve the situation, you can report the disturbance to us. We will look at a fitting solution.

  • Complaints

    Do you have a complaint? Report it so that you can live carefree again. We will pick up your complaint as soon as possible. 

    If it's an immediate complaint, for example about noise, you can file your complaint (anonymously) to the receptionist, duty manager or security guard. Unfortunately, we're not able to respond quickly enough to complaints via email (especially during the weekend) to resolve the situation immediately. 

Contract

  • End your contract

    When you stay at Student Experience Amsterdam Minervahaven, you do not have to end your contract. Your contract will end automatically on the end date stated in your contract.

  • House sitting

    House sitting is not possible at our Minervahaven location.

  • Service costs

    The service costs for staying at Student Experience Amsterdam Minervahaven are included in the price of your studio. You will not receive a separate bill for this.

  • Relocation policy

    Once you have made your studio selection, it is important to note that switching to a different studio is not possible. Your contract will be finalized based on the particular studio you selected during the online booking process.

    In exceptional cases where a relocation becomes essential due to a technical issue in your studio, we will contact you personally about the situation.
